1. Bookings & Cancellations Policy

1.1 Photo Walk Bookings 

• All Photo Walk bookings must be made and paid for in advance. Participants turning up on the day, without prior arrangement, will not be admitted onto the Photo Walk
• Bookings can be made though our online booking system or, if you do not have access to the website, bookings can be made over the phone with a cash payment agreed in advance.
• Any place booked on a Yorkshire Photo Walk must be honoured by the named participant on the booking form.
• For multiple bookings, the participant making the booking must list all other participants attending the Photo Walk. 
• Photo Walks are limited to 6 participants only and the ability to book via the online booking system will be terminated once this quota has been reached.

1.2 Photo Walks Cancellation Policy 

• Any Photo Walk cancelled by Yorkshire Photo Walks will make all participants eligible for a full refund or transfer onto an alternative session. 
• If a participant cancels their place on a Yorkshire Photo Walk up to 5 days prior to the event, a refund (minus a £5 cancellation fee) will be offered or a transfer to an alternative Photo Walk.
• If a participant cancels their place on a Photo Walk within 5 days of the event a refund will not be offered but a transfer to an alternative session will be made available.
• Transfers onto an alternative Photo Walk will be valid for 3 months from the date of the cancelled session. 
• Photo Walks on which fewer than three bookings have been made are subject to be cancelled.  

1.3 Photo Walk Gift Vouchers 

• All Yorkshire Photo Walk Gift Vouchers must be paid for in advance for the voucher code to be valid. 
• Gift Vouchers are valid from one year from the date of purchase. 
• Gift Vouchers can be redeemed via the Yorkshire Photo Walks online booking system or over the phone. 
• If a participant cancels a Photo Walk after redeeming their Gift Voucher, they must transfer to an alternative session within 3 months of the cancellation. 
• Transfers can be organised by contacting Yorkshire Photo Walks directly. 

2. Health & Safety Policy

2.1 Photo Walk Health & Safety 

• Yorkshire Photo Walks will not be held responsible for any injury, illness or damage to personal property sustained on the way to, during and on the way back from a Photo Walk.
• It is each participants’ responsibility to look after their own equipment and come appropriately equipped for the advertised session. 
• The Yorkshire Photo Walks Tutor is a trained first aider with a qualification in Outdoor Incident Management. 
• Please make sure you have taken note of the terrain and distance information on the Photo Walk Fact File page to make sure you are physically capable to take part. If you are in any doubt, please contact Yorkshire Photo Walks directly. 
• Abusive or inappropriate behaviour and/or language will not be tolerated. 
• All participants are asked to be considerate and respect other participants. 

2.2 Meeting Points & Vehicles 

• Please refer to the Photo Walk Fact File page on the Yorkshire Photo Walks website for details of the Photo Walk meeting point. 
• It is each participant’s responsibility to arrive at the meeting point in good time as Photo Walks start promptly at their stated start time.
• If you are going to be late please contact the Yorkshire Photo Walk tutor to inform him. 
• If you arrive late it is up to you to catch up with the group.
• If a participant fails to catch up with the group and/or fails to contact the tutor their place on the Photo Walk will be forfeited.
• A transfer to an alternative Photo Walk may be offered in exceptional circumstances. This transfer must be used within 3 months of the original booking. 
• Yorkshire Photo Walks will not be held responsible for any damage sustained to vehicles on the way to, during and on the way back from a Photo Walk.

2.4 Smoking, Vaping & Dogs

• Smoking, vaping and dogs (with the exception of special assistance dogs) are not permitted on any Yorkshire Photo Walk

3. Photo Walk Privacy Policy (See full policy for further details)

• Photographs including the tutor and/or other participants may not be shared with third parties without prior consent from any individuals featured. 
• Yorkshire Photo Walks can not take responsibility for any photographs shared with a third party company. 
• Photographs shared though our Flickr Group Page or our Yorkshire Photo Walk Photos page on Facebook may be used by Yorkshire Photo Walks on our website or for publicity purposes. 
• Prior permission to share images of Photo Walkers in action will be asked for on booking.
