Terms & Conditions

1. Bookings and Cancellations Policy

1.1 Photo Walk Bookings

  1. All Photo Walk bookings must be made and paid for in advance. Participants arriving on the day without a prior booking will not be admitted.

  2. Bookings may be made through the Yorkshire Photo Walks online booking system. If online access is not available, bookings may be made by telephone with an agreed cash payment.

  3. Bookings are non-transferable except as outlined in the cancellation policy. The place booked must be used by the named participant listed on the booking form.

  4. For multiple bookings, the booking participant must provide the names of all individuals attending.

  5. Photo Walks are limited to six (6) participants. Once this limit is reached, online booking for the session will automatically close.

 

1.2 Cancellation by Participants or Yorkshire Photo Walks

  1. If Yorkshire Photo Walks cancels a Photo Walk, all participants will be entitled to a full refund or the option to transfer to an alternative session.

  2. If a participant cancels their booking more than five (5) days prior to the scheduled event, they may receive a refund minus a £5 cancellation fee, or transfer their booking to another Photo Walk.

  3. If cancellation occurs within five (5) days of the event, no refund will be provided. However, the participant may transfer to an alternative session.

  4. Transfers must be redeemed within three (3) months from the date of the cancelled session.

  5. Photo Walks with fewer than three (3) participants booked may be subject to cancellation.

 

1.3 Gift Vouchers

  1. All Yorkshire Photo Walks Gift Vouchers must be paid for in full prior to issue. Voucher codes are only valid once payment has been received.

  2. Gift Vouchers are valid for one (1) year from the date of purchase.

  3. Vouchers may be redeemed via the online booking system or by telephone.

  4. If a participant cancels a Photo Walk booked using a Gift Voucher, they must transfer to a new session within three (3) months of the cancellation date.

  5. All transfers must be arranged by contacting Yorkshire Photo Walks directly.

 

2. Health and Safety Policy

2.1 Participant Responsibilities and Safety

  1. Yorkshire Photo Walks is not responsible for any injury, illness, or damage to personal property incurred while travelling to, participating in, or travelling from a Photo Walk.

  2. Participants are responsible for the security and proper use of their own equipment and must ensure they are suitably prepared for the conditions and terrain of the session.

  3. The Yorkshire Photo Walks tutor is a trained first aider with a qualification in Outdoor Incident Management.

  4. Participants must review the terrain and distance information provided on the Photo Walk Fact File to ensure they are physically able to participate. If unsure, participants should contact Yorkshire Photo Walks for guidance.

  5. Abusive, inappropriate, or disruptive behaviour or language will not be tolerated.

  6. Participants must be respectful and considerate towards others at all times.

 

2.2 Meeting Points, Punctuality and Vehicles

  1. Meeting point information is available on the Photo Walk Fact File page of the Yorkshire Photo Walks website.

  2. Participants must arrive at the meeting point in good time, as Photo Walks begin promptly at the stated start time.

  3. If a participant expects to be late, they must contact the tutor directly.

  4. Late participants are responsible for catching up with the group. Failure to catch up, or failure to contact the tutor, will result in forfeiture of the participant’s place.

  5. A transfer may be offered in exceptional circumstances and must be used within three (3) months of the original booking date.

  6. Yorkshire Photo Walks accepts no responsibility for any damage sustained to vehicles travelling to, during, or from a Photo Walk.

 

2.3 Smoking, Vaping and Dogs

  1. Smoking and vaping are not permitted during any Photo Walk.

  2. Dogs are not permitted, with the exception of accredited assistance dogs.

 

3. Privacy Policy (Summary)

  1. Photographs containing the tutor or other participants must not be shared with third parties without prior consent from the individuals featured.

  2. Yorkshire Photo Walks is not responsible for images shared by participants with any third-party organisation.

  3. Photographs shared via the Flickr Group Page or the Yorkshire Photo Walk Photos page on Facebook may be used by Yorkshire Photo Walks for website content or promotional purposes.

  4. Permission to use images of participants during Photo Walks will be requested at the time of booking.

 

4. Liability Waiver

  1. By booking and participating in a Photo Walk, participants acknowledge that outdoor activities inherently involve certain risks, including but not limited to slips, trips, falls, variable weather conditions, uneven terrain, and interactions with the general public or natural environment.

  2. Participants voluntarily assume all such risks and agree that Yorkshire Photo Walks, its owners, employees, contractors, and tutors shall not be held liable for any injury, illness, loss, or damage to personal property arising from participation in a Photo Walk, except where such liability cannot legally be excluded.

  3. Participants confirm they are physically capable of undertaking the walk and are responsible for bringing appropriate clothing, footwear, and equipment.

  4. Participants agree to follow all instructions given by the tutor and understand that failure to do so may increase their risk of harm.

  5. Nothing in this Liability Waiver excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be limited under applicable law.
