1. BOOKINGS & CANCELLATIONS POLICY

1.1 Photo Walk Bookings


  • All Photo Walk Bookings must be made in advance. We advise against turning up on the day as sessions may already be at full capacity or may have been cancelled or postponed at short notice. 
  • Those clients that have paid for a place on the Photo Walk will always be given priority. 
  • Bookings must be made though our online booking system. In certain circumstances you may also book over the phone and pay cash in advance. 
  • Any place booked on a Photo Walk must be honoured by the named participant on the booking form.
  • After booking, participants will be issued a ticket with a QR code. All clients must present their ticket to the tutor on arrival at the Photo Walk. 
  • Failure to produce a valid ticket or proof of purchase may result in a participant being turned away. 
  • The ability to book Photo Walks will be terminated when the maximum number of 6 participants has been reached. A notification of a walk being at capacity will be posted on the Yorkshire Photo Walks website.  



1.2 Photo Walk Cancellations


  • A place on a Photo Walk may be cancelled up to 48 hours before the event. In these cases a full refund or a transfer onto an alternative Photo Walk will be offered. 
  • A transfer must be made within three months of the original booking.
  • Any Photo Walk cancellation made 48 hours or less before an event will not receive an offer of a refund or transfer, except in extenuating circumstances.
  • If a Photo Walk is cancelled by Yorkshire Photo Walks a full refund or a transfer to another Photo Walk will be offered. If the offer of a transfer is taken, the participant must select an alternative Photo Walk scheduled within a three months of the original booking.
  • Sessions will be cancelled by Yorkshire Photo Walks if fewer than three bookings have been made.



1.4 Photo Walk Gift Cards


  • All Photo Walk Gift Cards must be paid for in advance. Cards will not be valid if a payment has not been received. 
  • Gift Cards are valid for one year from the month of purchase. 
  • Expired cards will only be extended in extenuating circumstances. Please contact Yorkshire Photo Walks if you are unable to use the voucher in the valid date range. 
  • Gift Cards must be redeemed through the website or over the phone. 
  • If a client cancels a pre-redeemed Gift Voucher they may transfer their voucher to an alternative Photo Walk.
  • A transfer must be made within three months of the original booking.


1.5 Photo Walk Weekends/Holidays 


  • All places on Photo Walk Weekends must be booked in advance and prior to the deadline stated on the Yorkshire Photo Walks Website. 
  • A Weekend may be cancelled by Yorkshire Photo Walks if fewer than 3 participants have booked places. Clients who have already made bookings will be notified of such a cancellation by the booking deadline, stated on the Yorkshire Photo Walks website. A full refund will be issued in such cases. 
  • Cancellations will be taken for pre-booked places on Photo Walk Weekends by the booking deadline. In these situations a client will be offered a full refund. 
  • If a place is cancelled after the deadline no refund will be offered. 



2. HEALTH AND SAFETY POLICY

2.1 Photo Walk Health and Safety


  • Yorkshire Photo Walks will not be held responsible for any damage to personal property or injury sustained before, during or after a Photo Walk. 
  • Clients must ensure that their photographic equipment is kept safe and secure at all times.
  • Clients will be given a health and safety briefing before each session. It is down to the client to adhere to this for their own safety. 
  • The Yorkshire Photo Walks tutor is a qualified First Aider with a qualification in Outdoor First Aid.
  • Please take note of the terrain details outlined on the Yorkshire Photo Walks website to make sure you are physically able to manage the session. 
  • If you are unsure of whether you will be able to manage the terrain, please contact Yorkshire Photo Walks for further advice. 
  • Abusive or inappropriate language or behaviour on a Yorkshire Photo Walk will not be tolerated. Anyone causing a nuisance will be asked to leave.
  • All clients are asked to be considerate when setting up equipment. Please think of others and do not block anyone’s view. 
  • Please be considerate of other participants by not including them in your photographs without prior permission from them. 
  • Please do not share any Photo Walk photographs that include another participant on social media, without prior permission. 



2.3 Meeting Points and Vehicles 


  • All Photo Walk meeting points will have access to parking facilities. Sometimes a car share system will be put in place if the location of a Photo Walk is less accessible. A notification of this will be included on the Photo Walk Fact File. 
  • It is down to each individual to park in a safe place at the meeting point, paying consideration to other car park/road users. 
  • If a meeting point is at a Pay and Display Car Park it is up to the client to check methods of payment. 
  • Yorkshire Photo Walks will not be held responsible for any parking infringements or damage caused to a vehicle before, during or after a Photo Walk. 
  • The nearest toilet facilities will be included on the Photo Walk Fact File. Please note that not all meeting points will have access to toilets. 
  • Clients are advised to arrive at the Photo Walk meeting point in good time. Sessions start promptly at the time stated on the website and Photo Walk Fact File/Ticket. 
  • If you are running late, please attempt to contact the Photo Walk tutor in advance of the start time. Contact details will be listed on your Photo Walk Ticket. 
  • If a client fails to meet up with the group at the meeting point, the tutor will then attempt to contact them. If they can not be contacted and fail to attend, a refund or transfer will not be offered. 
  • If a client arrives late to a Photo Walk it is their responsibility to catch up with the group.
  • If there is no signal available or a client can not get in touch for a valid reason, a transfer to a future Photo Walk may be offered. 
  • A transfer must be made within three months of the original booking.


2.3 Smoking/Vaping


  • Smoking/vaping is not permitted at any point during a Photo Walk.



2.4 Dogs 


  • Dogs are not permitted on any Photo Walk.



3. PHOTO WALK AFTER CARE AND PRIVACY POLICY

3.1 Photo Walk After Care


  • All Photo Walk participants will be given the opportunity to download a PDF of the Photo Walk Notes from each Photo Walk they attend.
  • All Photo Walk participants will be offered the opportunity to share their photographs from the Photo Walk on Flickr, Facebook and/or Instagram.
  • For participants not on social media we offer the opportunity to send photographs directly via email for further comments.  



3.2 Photo Sharing


  • Yorkshire Photo Walks use Flickr, Facebook and Instagram as external sources for sharing photos. Please make sure you are familiar with the privacy policies of these organisations before agreeing to share your photographs. 
  • Yorkshire Photo Walks will not be held responsible for any misuse of uploaded photographs using the above platforms. 
  • Photographs that have not been taken on a Yorkshire Photo Walk will be rejected or deleted from our named groups. 
  • Any photographs containing a recognisable person or persons that have not given their written permission to be photographed will be rejected or deleted.
  • Comments made by the Yorkshire Photo Walks tutor will only be made on photographs added to a social media platform or emailed within a week of a Photo Walk taking place. 
  • If you share your photographs directly with us using a Photo Walk hashtag or in the Facebook Photos Group you are consenting to comments being made public on the social media platform. 
  • Comments can be made anonymously via email direct to a client on request.
  • Any inconsiderate or abusive comments made on photographs by others will be deleted immediately.
